1. Scope & General Rules

  • This policy applies to all bookings made directly with Safari by Max (website, email, or phone) unless otherwise stated.
  • For bookings made via agents or marketplaces (e.g., resellers), their terms apply, and refunds must be requested through the original channel.
  • All time references are based on the local time of the activity location (Ivalo/Inari, Finland).

2. Standard Individual Bookings (1–7 participants)

  • 7+ days before start: Full refund or free rebooking (one time), subject to availability.
  • 2–6 days before start: 50% refund, or free rebooking (one time) if dates are available.
  • Less than 24 hours before start / No-show / Late arrival to pickup point: No refund.

3. Private Tours & Groups (8+ participants or 4+ snowmobiles)

  • 14+ days before start: Full refund.
  • 7–13 days before start: 50% refund.
  • Less than 7 days: Non-refundable.
  • Custom logistics (meals, transfers, special equipment) may have stricter terms if already confirmed or purchased.

4. Company Cancellations (Weather, Safety, Operational)

  • If Safari by Max cancels due to unsafe weather, safety, or operational reasons, customers may choose:
    • Rebooking to another date/time (subject to availability), or
    • Credit for a future tour, or
    • Full refund to the original payment method.
  • If a tour has already started but must be shortened for safety reasons, a partial refund or credit may be issued proportionally to the unused portion.

5. Pickup, Late Arrival & No-show

  • The customer must be ready for pickup at the time and location stated in the booking confirmation.
  • Late arrival or absence from the pickup point is considered a no-show, and the tour fee will not be refunded.
  • The guide or driver is not obligated to wait for late participants to avoid delays for other guests and scheduled tours.

6. Customer-Requested Changes

  • Name corrections: free of charge up to 24 hours before the tour.
  • Date/time changes: subject to availability. Change fees may apply during peak season. If new dates are unavailable, the original cancellation terms (Sections 2–3) apply.

7. Extras, Equipment & Damage

  • Lost or damaged rental gear (helmets, suits, gloves, etc.) may be charged at replacement cost.
  • Snowmobiles are insured according to Finnish law. In case of driver-caused damage, a deductible (self-liability) of €900 per snowmobile and incident applies; remaining repair costs are covered by the company’s insurance (see Terms & Conditions).

8. How to Cancel

  • Send an email to safaribymax@gmail.com with:
    • Booking number
    • Customer name and phone number
    • Tour date and product name
  • The time of receipt of your email in our inbox determines the applicable cancellation window.

9. Refund Method & Processing Time

  • Approved refunds are issued to the original payment method.
  • Processing time: typically 7–10 business days after approval. Bank or card delays may apply.
  • Non-refundable third-party services already rendered or purchased on your behalf may be excluded.

10. Gift Cards & Vouchers

  • Valid until the expiry date printed on the voucher.
  • Non-refundable unless required by law.
  • Redeemable for available tours and dates; cannot be exchanged for cash.

11. Force Majeure

Safari by Max is not responsible for cancellations, delays, or changes caused by circumstances beyond its control (e.g., extreme weather, road closures, equipment failure, power outages, strikes, or government restrictions).
